JOB DESCRIPTION: PAPAKURA ANGLICAN CHURCH PLAYGROUP COORDINATOR

PRINCIPLE FUNCTION: Coordinate and Supervise the Papakura Anglican Church Playgroup

ACCOUNTABILITY: Regularly report to the Vestry/Governors

keep in contact with the Children and Youth Minister

Work within budget allocation set by vestry.

TIME INVOLVEMENT: Supervise and manage Playgroup 1 day/week

8:45 – 12noon on Wednesday during term time

+1 additional day during school holidays (if necessary for clean up etc)

+2 hours/month for meetings.

EMPLOYER: Papakura Anglican Vestry.

PLACE OF WORK: Papakura Anglican Church, 40 Coles Cres, Papakura 2110

RESPONSIBILITIES: Oversee and manage Playgroup

To ensure that Playgroup opens each week during term time between: -> 9:30 and 11 :30 on Wednesdays.

Facilitate this Outreach ministry on behalf of the church

Ensure that the needs of parents, caregivers and children are met

Responsible for storage and maintenance of equipment

Ensure that the Playgroup has a safe environment

Keep accurate and relevant records of numbers, names, contact nos and monies received

Ensure a committee meeting is held least once a term.

Once a term (in consultation with the other playgroup committee members) set in place the next terms programme.

Report to the children and youth minister in an ongoing way so that they will be familiar with how playgroup is progressing.

Oversee Ministry of Education, COGS and other funding and reporting.

Oversee any communication that goes to parents.

Call, attend and chair playgroup committee meetings.

To oversee set up, running and clean up of Playgroup and direct volunteers as required.

To be a point of contact for the families who attend Playgroup so we can better meet their needs.

To ensure that health and safety regulations are met in regards to children’s safety and fire evacuation procedures. The Playgroup Coordinator will be the Fire Officer for the duration of the session.

Organise end of term clean-up

Report church hall maintenance needs to the office

To keep a running inventory of equipment.

To set up a notebook system to track items in need of repair or replacement. Such items can be noted by volunteers in the equipment notebook for follow up by the equipment manager. Suggested items for purchase can also be noted.

Ensure accurate and relevant records for the Playgroup are maintained. In particular:

   o Number attending each session
o Names of those attending
o Ethnicity of those attending
o Contact numbers of those attending.

All monies received will be added (and countersigned) and taken to office for collection. All receipts for expenditure will be taken to the office for collection. A petty cash system will be implemented.

Minute playgroup volunteer meetings and a copy of these minutes will be forwarded to the children and youth minister.

A monthly report will be submitted to vestry via the children and youth minister.

A yearly report for the AGM

SUPPORT: Remuneration at and agreed amount ($20.20/hr before tax)

Ongoing relevant training costs

Children and youth minister will be present at committee meetings when requested by the committee or coordinator.

Children and youth minister will ensure playgroup file a report for every vestry meeting, and the AGM.

Children and youth minister will be a support person and provide pastoral support for the coordinator.
